Title: Payroll Accountant
The Payroll Accountant is responsible for the administrative and transactional payroll operations and processing, ensuring accuracy, completeness and timeliness of service delivery. The role also involves reconciliation of payroll related accounts, supporting internal and external audits, and collaborating with Business Unit (BU) HR and Store Financial teams to resolve payroll and PnL concerns. Should have a strong understanding of Generally Accepted Accounting Principles (GAAP), company policies and payroll processes.
Key Responsibilities:
Timekeeping & Payroll data preparation
• Validate manhours data, employees master data and headcount.
• Uploads/encode manhours data received from Store Operations to payroll system, based on defined cut-offs.
• Set-up new loans and other deductions before cut-off.
• Prepare and upload requested payroll adjustments.
• Perform validations based on payroll criteria and validation rules.
• Prepare and compute Final pay of separated employees Accuracy, Completeness and Timeliness.
Final Pay, Company Loans, and other payout processing (such as Maternity Benefit, Bereavement, Cash Advance, etc.)
• Check completeness and validity of documents submitted based on company policy.
• Process payout based on agreed timeline.
• Communicate compliance-related issue or request to the Team Leader to determine the necessary course of action or resolution, if any.
Remittances and Reporting
• Prepare schedule, validate and submit approved Request for Payment (RFP) for all Government mandated contributions and loans, external remittances to Accounts Payable team.
• Execute payments to Government agencies on or before due date.
• Prepare and validate BIR 2316 form (final pay), 13th month DOLE report, Payroll related DOLE inspection, and PSA (Philippine Statistics Authority) to government. agencies Accuracy and Timeliness.
Account Management and SLA Reporting
• Prepares and maintains payroll related schedules to support audits and compliance to company policies and standards.
• Prepare and validate company billing related to franchise, and company borrowed employees.
• Accomplish payroll SLA Dashboard.
• Provide Headcount and Manpower Mix Reports to company owned store Accuracy, Completeness and Timeliness.
System Implementation and Enhancement
• Perform and validate output of Payroll for required test scenario during system enhancements.
Feedback Monitoring, Escalation and Resolution
• Escalate, report issues incurred and resolve within timelines based on severity.
• Suggests preventive and corrective actions upon determination of causes.
• Communicates to employees in an objective manner Accuracy, Completeness and Timeliness.
Job Qualifications:
• Bachelor’s Degree in Accounting, Finance, Business Administration, Accounting Technology or a related field.
• Open to fresh graduates, but experience in General Accounting and Payroll is a plus.
• Knowledge on payroll Tax, SSS, Philhealth and Pagibig implementing rules and guidelines.
• Proficient in MS Office application
• Knowledge of General Ledger Accounting and Journal entries
• Willing to be assigned in Ortigas, Pasig City on a hybrid working set-up (2 days onsite, 3 days work-from-home/week).
