CANDIDATE PRIVACY NOTICE

DESCRIPTION OF SERVICES
The Jollibee Group of Companies (“Jollibee Group”, “Company”, “we”, “our”, “us”), through its parent and subsidiary companies identified below in WHO THE CONTROLLERS ARE, is committed to protecting your privacy and is responsible for ensuring the privacy of the personal information you provide using the Company’s recruiting and onboarding platforms (“Platform”) that link to this Privacy Notice. We shall process your Personal Information, including Sensitive Personal Information, (collectively, “PII”) in accordance with the DPA, its implementing rules and regulations, other applicable data privacy laws, and this Privacy Notice.
HOW WE COLLECT, WHAT WE COLLECT AND WHAT WE DO WITH THE DATA WE COLLECT
PII are collected directly from you when you either: (i) create a candidate profile, or submit your Curriculum Vitae (“CV”) in the Platform, and/or (ii) apply to a job posting on the Platform, in order to start your employment application process with the Company. We may also be able to collect your PII from other sources when either (i) a recruitment agency/executive search firm you engaged submits your CV to us or (ii) you may know an employee from our Company and you requested said employee to send your CV to us. After your PII have been submitted in any of the manners described above, your PII are stored in our Platform in order to proceed with your employment application process.
As you progress to the next steps of the employment application, additional PII are collected at the various stages of the recruitment and hiring process, which are likewise stored in the Platform. Should you successfully pass the assessment and background check processes, and an offer has been extended to you of which you accepted, all PII that was collected from you shall be used to facilitate your employment pre-onboarding and onboarding with the Company. Such PII shall then be processed and continued to be stored in the Company’s Platform.
For your information, the below outlines the specific PII and our appropriate purposes for collection and processing:
Data collected from you which may include the following for the relevant purposes:
1) Personal contact information, in order for us to be able to send important communications and notices regarding your application and inform you of other possible job opportunities, if any
2) Educational background/information, professional background/information, relevant official authorizations, in order for us to assess your suitability for employment and evaluate your qualifications, skills and competencies against your present application and other job opportunities
3) Other relevant information such as government records and personal records, as applicable, in order for us to (i) confirm the accuracy of your submissions, (ii) facilitate employment verification checks, education checks, character reference checks, criminal/civil/credit records check as may be allowed under applicable laws and regulations, and later on (iii) facilitate your employment onboarding requirements
4) During the processing of your application, we may also collect relevant medical information, in order for us to ascertain that you are fit for the job and enable us to promote your health, safety and well-being at work
5) We may also use the PII you provided in order for us to comply with laws, regulations, court orders, or other legal obligations, or for any other reason permitted by law.
(Items 1 to 5 above shall be collectively referred to as “Purposes”).
Data automatically collected from you
Some information may be collected automatically from you when you use and log in to our Platform. Please refer to the Cookie Policy below.
DISCLOSURE AND SHARING OF PII
Your PII shall be accessed by or shared to persons relevant to the recruitment and hiring process within the Company consistent with the Purposes above. Certain PII may be shared as well to the following third parties as part of the recruitment and pre-onboarding processes and on an as-needed basis only:
- recruitment process outsourcing service providers, headhunters/executive search firms, placement agencies who are involved in the processing of your employment application
- testing and assessment centers which provide standardized testing and employment competency assessment services
- background and reference check providers for validation of education and employment records, character reference checking and criminal/civil/credit records check as permissible and applicable by law and your country’s jurisdiction
- medical/health providers for health, medical and drug checks as permissible and applicable by law
These service providers are required to protect your PII pursuant to the relevant agreement between service providers and the Company, and applicable laws and regulations. You may contact the Company’s talent acquisition team in your country/region for a full list of providers relevant to the processing of your application.
We may also have a need to disclose your PII if we are required to do so by law or by legal process, as necessary to establish any threatened or actual legal claims. Further, we will not sell, distribute, or lease your personal information to third parties other than those stated above, unless we have your permission or are required by law to do so.
ACCESSING AND CONTROLLING YOUR PII
We assume that the PII that you provide in our Platform is accurate and complete. Since the PII was collected using the account you have created for your candidate profile and using your valid email address, we assume that the account owner and the applicant is one and the same.
You will have access to your PII anytime once you have created a personal candidate profile in our Platform. You can at any time, without prior consent needed from the Company, update or correct your data records on your own by logging into your account.
If you are still in the application process where you have yet to accept a job offer and should you wish for your PII to be permanently deleted for any reason within the retention period as stated below, you may do so by logging into your account, proceeding to “Options” and deleting your profile under the “Settings” tab. If you try to delete your profile by revoking acceptance to this Privacy Notice, then the same shall only change the status of your profile to a “Declined Data Privacy” status, and your name shall still be visible in the Platform but your records, while retained in the Platform, may no longer be accessed by you . The Company at this point shall cease processing your PII.
If you are already on the onboarding process and you want your PII to be permanently deleted from the Platform, which will mean an abandonment of your application, then you may send an email to globaltalentacquisition@jollibee.com.ph so that we can timely attend to your request.
YOUR OTHER RIGHTS AS A DATA SUBJECT
Subject to the requirements of applicable laws and regulations, you have the following rights with respect your personal information we have collected:
- Access and rectification. You can ask us for a copy of the PII we hold about you or inform us of any changes or corrections to your PII.
- Erasure, restriction, and objection. In some cases, you can ask us to erase (see deletion process above), block, or restrict the processing of the PII we hold about you or object or limit to particular ways in which we are using your PII.
- Portability. In some cases, you can ask us to send the PII you provided us to a third party.
- Withdrawal of consent. Where we are processing your PII on the basis of your consent, you are entitled to withdraw that consent subject to any applicable law.

SECURITY, STORAGE, DATA RETENTION AND DISPOSAL
We are committed to ensuring that the PII we collect, process, and store is secure. To prevent unauthorized access, processing, or disclosure of your personal information, we have put in place suitable physical, electronic, and organizational procedures to safeguard and secure the PII we collected. However, no security system is impenetrable and we cannot guarantee the security of our systems at all times. In the event that any information under our control is compromised as a result of a breach of data security, we will take reasonable steps to investigate the situation and, where appropriate, notify those individuals whose information may have been compromised and take additional steps, in accordance with any applicable laws and regulations.
Your PII will be stored in the Platform located on the cloud services of our provider in Singapore.
Should your application be successful, your records shall be retained in the Platform for as long as you are an active employee and likewise within the applicable retention period of resigned employees in the Company. However, should your application for a particular position be unsuccessful, your records shall be retained in the Platform within three (3) years from the date of your last updating of records as this may allow us to revisit your profile and invite you for future job openings, unless you exercise your data subject rights as disclosed above. Upon termination of the retention period, we will purge your PII following our internal policies and applicable laws and regulations, unless we receive a written request from you via globaltalentacquisition@jollibee.com.ph to retain your PII for a longer period in order for you to be included in future job opportunities.

BROWSING
In certain cases, such as when you are simply browsing the Platform and do not create or log-in to your account, we do not collect any PII. However, we may collect cookies referred to below.
COOKIE POLICY
Cookies are small files that are placed on your device when you visit a website or use an app. It typically contains information about the website or app itself and a unique identifier that allows the site website or app to recognize your browser or device when you return.
The Platform uses cookies to understand how you use said Platform, remember your preferences, track your activity, and personalize your experience. This allows the improvement your experience in using the Platform.
We may introduce certain functions within our Platform which may contain third-party cookies. In such cases, we encourage you to consult the privacy policies of the relevant third party (e.g., Google, LinkedIn) on their websites for information regarding their use of cookies.
You may disable cookies via your browser settings or by changing your cookie settings in your device. However, if you disable certain cookies, you may not be able to take advantage of the full features of the Platform.

UPDATING THIS PRIVACY NOTICE
Whenever necessary, we may, from time to time, update and/or revise this Privacy Notice. We shall inform you of such update or revision by placing the date of the latest version on top of this Privacy Notice or by other appropriate means.
