Title:  US Payroll Specialist

Job Summary:

The Payroll Specialist (US Payroll) will play a crucial role in ensuring accurate and timely processing of payroll for all North American employees. This position will collaborate closely with HR, Finance, and other departments to handle payroll-related inquiries and maintain compliance with federal, state, and local regulations.

 

Responsibilities:

1. Process Bi-weekly, semi-monthly, and/or monthly payroll for North American employees using the ADP payroll system.

2. Verify and enter employee data, including hours worked, new hires, terminations, and changes in pay rates and deductions.

3. Ensure accurate calculations for regular and overtime hours, bonuses, commissions, and other compensation components.

4. Review timekeeping records and resolve discrepancies with relevant departments.

5. Prepare and submit payroll-related reports to management and finance as required.

6. Stay updated on federal, state, and local payroll laws and regulations, ensuring compliance in all payroll processes.

7. Handle payroll inquiries from employees, addressing issues related to pay, taxes, and deductions in a timely and professional manner.

8. Collaborate with HR and Finance teams to reconcile payroll-related accounts and address any discrepancies.

9. Process employee benefit deductions, garnishments, and other payroll deductions accurately.

10. Assist in year-end payroll activities, including W-2 processing and reconciliation.

11. Maintain payroll records and ensure data confidentiality and security.

12. Participate in payroll system upgrades and testing, ensuring smooth implementation.

13. Provide exceptional customer service to employees and other stakeholders regarding payroll matters.

 

Requirements:

1. Bachelor's degree in Accounting, Finance, Human Resources, or a related field (or equivalent experience).

2. Proven experience in payroll processing, preferably using ADP Workforce Now or ADP Enterprise HR.

In-depth knowledge of payroll laws, regulations, and best practices in the United States and Canada.

3. Strong proficiency in using payroll software and Microsoft Office applications, especially Excel.

4. Exceptional attention to detail and accuracy in data entry and calculations.

5. Excellent organizational and time-management skills, with the ability to meet strict deadlines.

6. Strong problem-solving skills and the ability to resolve complex payroll issues.

7. Excellent communication skills, both written and verbal, with a customer-service-oriented approach.

8. Ability to handle sensitive and confidential information with utmost discretion.

9. Experience with multi-state payroll and Canadian payroll is a plus.
