Title: HR Executive Secretary
The HR Executive Secretary performs secretarial and administrative services for the HR Head to ensure these functions are cost-effective and contribute to the accomplishment of company objectives. He/she also assists in some HR initiatives and programs.
Key Responsibilities:
- Provide administrative support to the HR Head including encoding memos, letters, reports, meeting notes, and confidential documents
- Sort and prioritize incoming documents
- Prepare meeting materials as needed
- Coordinate and schedule meetings, and prepare pre-work and agenda if required
- Facilitate provision and collation of needed information
- Manage the HR Head’s schedule and calendar
- Prepare and maintain minutes of HR leadership team meetings
- Monitor progress of division plans/projects and report to Division Head
- Plan and manage travel arrangements for division-wide programs/events
- Enforce and lead workplace programs (e.g. 5S, Safety & Security, Emergency Response)
- Initiate programs that promote team camaraderie (e.g. HR Huddle, celebrations, team events)
- Manage queries and route them to appropriate offices when necessary
- Handle communication cascades within the division
- Prepare and monitor the division budget; reconcile and report budget utilization
- Maintain proper document filing and timely submission
- Decide on appropriate level of disclosure for confidential and non-confidential information
Other Duties:
- Deliver tasks with quality and timeliness
- Perform other jobs or assignments related to expertise for personal or team development and to support department or organizational objectives
Job Qualifications:
- Bachelor’s degree in Human Resource Management or business-related course with above average academic performance
- At least 2 years of work experience, including at least 1 year of providing administrative support to an executive
- Must be willing to work in Ortigas, Pasig (Hybrid Work Setup)
