Title:  Executive Assistant

The Executive Assistant for the Office of the Global Quality Management Head provides effective and proactive administrative support to the Head in managing daily unit operations and ensuring the smooth running of the office.  He assists in other areas of Global QM functional and technical projects, programs and activities to enable the entire QM organization to achieve its goals and objectives for its customers.

Key Responsibilities

  • Handling full spectrum of secretarial duties and business support to Vice President
  • Assist in general office administration including travel & hotel arrangements
  • Ensure all enquiries, complaints, and feedback are attended to promptly, professionally, and followed up until eventual closure
  • Secretariat for management meetings, preparing reports and presentation materials, as well as performing end-to-end event management activities
  • Working closely with the senior management team with a high level of professionalism
  • With experience in document control/record management
  • Knowledge of 5S
  • Skills in budgeting
  • Computer skills (PowerPoint presentation, software navigation, video editing)

Job Qualifications

  • Candidate must possess at least a Bachelor’s/College Degree in Computer Science/Information Technology, Philosophy, Business Studies/Administration/Management, Secretarial, Commerce, Mass Communications, Humanities/Liberal Arts, or equivalent
  • At least 2 years of secretarial experience supporting Senior Management, preferably in a consultancy or multinational company
  • Customer-focused with excellent command of written and spoken English
  • Pleasant personality, with strong interpersonal skills and high emotional intelligence (EQ)
  • Self-motivated, committed, and results-driven with the ability to work under tight deadlines
  • Excellent organizational and time management skills
  • Resourceful and flexible with high energy
  • Ability to multi-task in a fast-paced environment with minimal supervision
  • Possess high level of discretion and integrity
  • High proficiency in Microsoft Office applications
  • Strong ability to lead a group of technical people in meeting corporate objectives
  • Must have strong problem-solving, analytical, and communication skills
  • Well-organized, can handle multiple projects, and able to work under pressure
  • Must be willing to work in Ortigas, Pasig (Hybrid Work Setup).
