Title:  Benefits Administration Specialist

The Benefits Administration Specialist is responsible for the efficient, accurate, and timely administration of both company-initiated and government-mandated benefits for all employees, from rank-and-file to executives. The role ensures compliance with policies, processes, and statutory requirements while delivering excellent customer service to address employee concerns. This position works closely with vendors, government agencies, and internal stakeholders to support the smooth delivery of benefits and maintain up-to-date knowledge of regulations and company programs. 

Benefits Admin Specialist administers end to end processes and requirements including application, preparation and submission of: 

 

Company-initiated Benefits such as:

  • Medical and Hospitalization coverage 
  • Outpatient Medicine Reimbursements 
  • Annual physical examinations 
  • Executive check-ups 
  • Company Car/ Car plan 
  • Wellness programs 
  • Local and International Billings 

 

Government-mandated Benefits such as: 

  • Social Security System (SSS) 
  • Pagtutulungan sa Kinabukasan: Ikaw, Bangko, Industriya at Goberyno (HDMF/Pag-IBIG) 
  • Philippine Health Insurance (PhilHealth) 
  • Bureau of Internal Revenue (BIR) 

 

The role ensures compliance with applicable policies, processes, and statutory requirements while providing excellent customer service to address employee concerns. It involves close coordination with vendors, government agencies, and internal stakeholders to facilitate smooth benefit processing and resolution of issues.

Act as the primary point of contact for employee inquiries, providing clear and accurate guidance. Escalate and endorse concerns to the appropriate parties, ensuring regular follow-ups and resolution. 

Maintain and update knowledge of relevant benefits policies, guidelines, and regulations.

 

Key Responsibilities:

 

Operations Management and Administration:

  • Administer and process both company-initiated benefits (e.g., medical and hospitalization, annual physical exams, executive check-ups, car plan, educational assistance, bereavement assistance, JKP, travel insurance, club memberships, health and wellness programs) and government-mandated benefits (e.g., SSS, Pag-IBIG, PhilHealth, BIR). 
  • Oversee annual benefit renewals, enrolments, and scheduled activities for employees and dependents across the Business Units. 
  • Validate, process, and ensure timely payment of local and international billings/invoices for medical, life, accident, fleet, and other insurance coverages, in line with agreed SLAs. 
  • Manage end-to-end benefit claims such as outpatient reimbursements, SSS maternity, sickness, and Employees’ Compensation (EC), including monitoring advancements and reimbursements. 
  • Coordinate with vendors, providers, and government agencies to ensure compliance with policies, regulations, and service standards. 
  • Enroll and update newly hired and separated employees with relevant benefit providers and government agencies. 
  • Process employee requests and transactions via SAP Concur and ensure WeCare tickets are resolved within SLA with complete documentation. 
  • Prepare and submit monthly dashboards, incident reports, and statutory reports with accuracy and timeliness. 
  • Maintain accurate benefit records, ensure confidentiality, and provide necessary support during employee hospitalization or confinement. 

 

Customer Management 

  • Maintain effective communication with internal and external clients, partners, and teams to ensure strong working relationships and service delivery. 
  • Respond promptly to employee inquiries through calls, emails, and ticketing systems, providing accurate and timely information. 
  • Monitor and manage issues via the WeCare Incident Management Tool until resolution and closure. 
  • Prepare incident reports for escalated or potential issues. 
  • Represent the company in transactions with government-mandated agencies, ensuring accurate and compliant submission of reports both online and in hard copy. 
  • Perform validation of government loan deductions and SSS benefit computations. 
  • Act as liaison for government-related concerns, ensuring proper escalation and coordination with relevant agencies. 
  • Possess knowledge of end-to-end Benefits Administration processes for company-initiated benefits, particularly for Company Car/Car Plan. 
  • Update and maintain Standard Operating Procedures (SOP) for benefits administration. 
  • Provide administrative support for government caravans and other benefit-related initiatives or projects across business units. 


Job Qualifications:

  • Bachelor’s degree in human resources, Business Administration, Psychology, or any related courses  
  • Any Medicine/Science-related course is an advantage, but not a must requirement 
  • One (1) year experience in Benefits Administration and specific to HMO, medical, hospitalization and other company benefits (Advantage if with experience on government-mandated benefits).
  • One (1) to Two (2) year experience in the areas of Benefits Administration, specific to government-mandated benefits 
  • Flexible shifts when required to meet business needs. 
  • Must be willing to work in Ortigas, Pasig (Hybrid Work Setup).
